How to See Sent Emails and Statements in Xero
· Gareth Evans
Sent an invoice or statement from Xero and now a customer says they never got it? You're looking for Xero's sent items — and the honest answer is that Xero doesn't have a sent-items folder. Here's what Xero can show you, and how to get a real sending history for your customer statements.
What Xero can show you
- History & Notes on the document. Open the invoice and scroll to History & Notes. You'll see that an email was sent, when, and (for invoices) the primary To address. You won't see the email body or attachment.
- The History and notes report. Accounting menu → History and notes; filter by date and type. Same limitation: it logs the event, not the content.
- "Send me a copy". Ticking this when you send is the only way to keep the actual email — it lands in your own inbox, and you file it yourself.
That's the lot. There's a 424-vote request on Xero Product Ideas for a proper log of sent mail; Xero has said it's not planned in the next 12 months.
A real sending history for statements
If the emails you need to track are customer statements , Statey — a Xero App Store plugin that automates your statement runs — keeps the record Xero doesn't:
- Sent Items: every statement campaign, automated or manual, searchable by customer, timestamped in your timezone.
- The exact document: re-download the PDF or Excel statement each customer received, exactly as sent.
- Per-recipient delivery status: delivered, bounced (with the reason), or missing email — so "I never received it" takes seconds to check.
- Per-customer email history: open a customer, see every statement ever emailed to them.
So when a customer queries their account, you can answer with proof: what was sent, when, to which address, and whether it arrived. The statement sending history guide and delivery statistics guide show exactly what's recorded.
FAQ
Can I see emails I've sent from Xero?
Only the fact that they were sent (History & Notes), not the content. Use "send me a copy"
for future sends, or Statey for a complete statement-sending history.
Can I resend exactly what the customer got?
From Xero, no — you'd regenerate it with today's data. From Statey's Sent Items, yes: the
original file is stored.
