Automatically Send Statements in Xero - Step-by-Step (2025)

· Gareth Evans

Xero still has no built-in way to send customer statements on a schedule. You can send a batch by hand whenever you remember to, but there is no "every Friday", no "1st of the month", no set-and-forget. This guide covers the workaround, which takes about five minutes to set up.

The short version
Xero cannot schedule customer statements on its own.
Statey connects to your Xero organisation and sends them for you, weekly or monthly.
Setup takes under five minutes, and every send is logged.

Why Xero can't do it yet

Automated statements have been a long-requested feature. Xero lets you send statement batches manually, but scheduling them has never shipped. If you want to follow the discussion:

Where an app fills the gap

Xero's app ecosystem is one of its real strengths, and a handful of apps cover statement automation. Most of them either price on how many invoices you raise, or ask you to move your whole debtors process into their tool.

Statey does one job. It connects to your Xero organisation, sends statements on the schedule you set, and otherwise stays out of the way.

Four steps to your first automated run

Find Statey on the Xero App Store or start from statey.app

  1. Connect Xero and Statey
Log in and authorise your Xero organisation. Authorising a Xero organisation in Statey
  2. Set your schedule
Pick when statements go out, such as the 1st of each month or every Friday at 3pm. Setting up a statement schedule in Statey
  3. Write your email
Add a personal message. Dynamic tags like {{balance_due}} and {{overdue_amount}} fill themselves in per customer. Customising the statement email template in Statey
  4. Preview and go live
You see the next run before it happens, including exactly who matches your filter. Pause a run or exclude a contact at any point.

From then on Statey syncs balances from Xero and sends branded statements without you touching anything.

What else you get

Your own sending address Statements arrive from your domain, not ours.

If automating customer statements is the piece you have been waiting on, this is the shortest path to it.
